1. Scope of this notice
This notice covers the main TradePilot marketing website and Help Centre. The TradePilot application, a customer-selected integration, a mobile app or a third-party site can use additional storage and technology. Their feature notices and the Privacy Policy should be read together with this notice.
A cookie is a small item of browser storage. Not every technical disclosure involves a cookie: a font or security request can disclose an IP address even without advertising cookies.
2. First-party sessions
The website uses a PHP session cookie, normally named PHPSESSID unless the server configuration changes its name. It links requests to server-side session data for enquiry-form security and feedback and, for administrators, authenticated Help Centre access.
The website code sets the cookie as HttpOnly and SameSite=Lax, and as Secure when HTTPS is recognised. These settings reduce particular risks; they do not make a session immune to compromise. The browser cookie is session-based rather than assigned a fixed expiry by this website code. Browser session-restore behaviour and server expiry settings can affect how long a session remains usable.
Blocking this cookie can prevent form submissions or admin access. It is not used here as an advertising identifier.
3. External services
Cloudflare Turnstile: the enquiry form uses a security challenge service. Cloudflare processes connection and browser signals, such as IP address and user-agent information, to detect automated abuse. Its challenge configuration may use security-related storage or cookies. Google Fonts: page typography is loaded from Google's font service. Requests disclose technical connection information, including the requesting IP address. Loading a hosted font is different from enabling Google Analytics. See Google's information about font privacy.
Enquiry email: submitted form information is delivered by the website's configured email service. This is server-side processing, not a visitor advertising pixel. Our Service Providers page distinguishes these website services from app integrations.
4. Logs, help searches and feedback
Hosting and application logs may contain IP addresses, requested pages, timestamps, browser details and errors for operation, security and troubleshooting. The enquiry message includes the submission time and IP address.
The Help Centre stores search terms and times and article helpfulness feedback in first-party server records. These can reveal information that a visitor types, so do not include personal identifiers, passwords or sensitive records in a help search. Article counts and feedback are used to improve support content rather than to run a cross-site advertising profile.
5. Browser choices and optional tracking
You can review, block or clear cookies through your browser and use its privacy controls to restrict external requests. This may affect fonts, form security or admin access. Clearing browser storage does not delete information already submitted to us or close a TradePilot company account.
This release does not add a marketing-cookie banner because it does not introduce optional advertising or third-party visitor analytics tags. That is not a claim that every service is exempt from consent requirements in every country. Any future optional tracking must be assessed, appropriately disclosed and subject to any required prior consent and withdrawal mechanism before it runs.
